New Employee Onboarding Checklist: The IT Setup That Prevents Future Headaches
Hiring a new employee should feel exciting—not like a scramble to create accounts, find laptops, reset passwords, and hope nothing important gets missed.
But when onboarding isn’t standardized, small problems turn into big ones later:
- security gaps
- lost access
- shared passwords
- messy licensing
- ex-employees still having access months after leaving
A simple, repeatable IT onboarding process keeps your business secure and helps new hires become productive on Day 1.
Here’s a practical checklist JW IT Professionals recommends for small businesses.
Why onboarding matters for security (not just convenience)
Onboarding is where most long-term security problems start:
- accounts created without MFA
- admin rights given “temporarily”
- devices shipped without encryption
- credentials shared in email
- old users kept around “just in case”
Fixing these later is harder than doing it right once.
The IT onboarding checklist (small business edition)
1) Confirm the basics before Day 1
Collect:
- full name, start date, role/department
- job responsibilities (what systems they need)
- location (remote or in-office)
- manager approval for access
Tip: Use role-based access. Don’t give “everything” by default.
2) Create accounts the right way
At minimum:
- Microsoft 365 (or Google Workspace)
- Teams/Slack
- CRM/accounting systems (as needed)
- password manager vault access (recommended)
Security baseline:
- MFA enforced
- strong password policy
- separate admin accounts (never onboard as admin-by-default)
3) License and assign tools
Make sure you’re not overpaying or missing key features:
- Microsoft 365 licensing (Business Basic/Standard/Premium, etc.)
- security tools (EDR, email security)
- VPN/remote access licensing
- VoIP/phone extensions
4) Prepare the device properly (this is where most mistakes happen)
Device checklist:
- OS fully updated
- disk encryption enabled (BitLocker/FileVault)
- EDR/antivirus installed and checked in
- company browser + password manager configured
- automatic patching enabled
- standard user account created (no local admin unless truly required)
If remote:
- test VPN/remote access
- confirm Wi-Fi requirements
- ensure device can be tracked/recovered if lost
5) Secure file access and sharing
Set up:
- OneDrive/SharePoint permissions (least privilege)
- correct Teams channels
- shared mailbox access (if needed)
- email groups/distribution lists
Avoid:
- shared logins
- sending credentials through email
- dumping people into “everyone” folders
6) Configure email safely
Email is a top attack vector.
Set:
- mailbox policies
- spam/phishing protections
- external email warnings (if used)
- disable risky forwarding rules
- enforce MFA and modern authentication
7) Provide the “Day 1” quick-start
Make it simple:
- how to sign in
- how to reset password/MFA
- how to request IT help
- security expectations (phishing reporting, acceptable use)
A 10-minute orientation can save hours of issues later.
Don’t forget offboarding (onboarding’s twin)
A great onboarding process should match a great offboarding process.
When someone leaves, you should be able to:
- disable accounts immediately
- recover devices
- rotate shared credentials
- remove access to shared vaults and systems
- preserve email/data appropriately
Onboarding and offboarding should be two sides of the same system.
